This policy explains what information the Nearly Neighbors website collects, why we use it, and the choices available to you.
Information you choose to share
We collect information when you send us a message, join the newsletter, or submit materials for The Search for Rachel.
- Contact messages: your name, email address, and message.
- Newsletter subscriptions: your email address and subscription activity, which are processed through Substack.
- Casting submissions: the contact details, location, pronouns, representation, links, notes, and other materials you choose to provide.
Casting submissions are saved in a private WordPress dashboard accessible to site administrators, and sent to the producing team by email. We also send a confirmation email to the address you provide. Casting files are shared through links you provide. Those files remain subject to the privacy settings and policies of the service where you host them. Please do not include sensitive information that we have not requested.
Information collected when you visit
Our hosting, analytics, and embedded-content providers may automatically receive technical information such as your IP address, approximate location, browser and device type, referring page, pages viewed, interactions, and the date and time of a request. Cookies and similar technologies may be used to operate the site, measure visits, and understand how people use it.
How we measure website activity
We use Google Analytics to measure campaign traffic, section views, scrolling, time spent actively viewing a page, song playback progress, audition steps, confirmed submissions, and broad categories of technical errors. Our custom analytics events do not include the names, email addresses, audition links, notes, or other values entered into forms. Technical error events use categories rather than error messages or recordings of your screen. Analytics cookies may distinguish visits; these reports are not a directory of named visitors.
Optional audience insights
If you allow analytics, we measure activity on this website. If you also allow the marketing category in our cookie settings, Google Signals may associate website activity with Google’s information about eligible users who are signed in and have enabled Ads Personalization. This can provide aggregate age, gender, and interest categories. We do not receive your Google account name or a list of websites you have visited. Google may withhold small groups to protect privacy.
You can accept or decline optional categories and change your choice through the cookie settings control. Declining does not prevent you from browsing, listening to audition materials, or submitting an audition. Any identity details you choose to submit through casting or newsletter services are handled separately from these Analytics events. See Google My Activity for Google’s activity controls.
How we use information
We use information to respond to messages, administer newsletter subscriptions, review and follow up on casting submissions, understand and improve the website, keep the site secure, and meet legal obligations. We do not sell your personal information.

How long we keep information
We keep contact messages and casting submissions only for as long as reasonably needed to respond, conduct casting and production follow-up, maintain appropriate records, or meet legal obligations. Newsletter information is retained according to your subscription choices and Substack’s practices.
